Administrative Assistant to the Head of School

The Administrative Assistant to the Head of School provides administrative support to the Head of School. He/she handles a variety of administrative duties that support significant activities necessary to effectively run the School. 

Essential Functions

  • Represent McDonogh School professionally and with courtesy, by being a welcoming, friendly, joyful, efficient, and discreet presence in all communications with parents, students, faculty, staff, trustees and visitors

  • Administratively support the Head of School; schedule meetings, prepare letters and other correspondence as requested, manage the Head of School's schedule

  • Schedule and manage the planning of school-wide annual events as directed by the Head of School

  • Maintain office supplies; order supplies as needed

  • Maintain personnel related files; prepare and collect annual and new employee salary and assignment notices

  • Support the Board of Trustees; schedule all meetings, manage all communication with Trustees, take and prepare minutes for monthly Board meetings, and any other administrative tasks that arise

  • Provide support to the faculty, staff, and students of McDonogh School in an effort to further the mission of the school

Recommended Employment Qualifications

Bachelor's degree from a 4 year college or university; or 3-5 years of experience relevant to the position; or equivalent combination of education, experience, and/or training.

  • Must have proven problem solving skills, be self-motivated, and adaptable

  • Proven ability to maintain focus on a multitude of tasks at the same time

  • Strong dedication to customer service

  • Strong technology skills- Microsoft Office (specifically Word and Excel)

  • Strong technology skills- office equipment such as copiers/faxes

  • The ability to learn quickly

  • The ability to work independently

  • The desire and willingness to assist colleagues outside of the job description

  • Must be able to comply with background check, including finger prints, as required by the agency and / or state regulations.

  • Must have regular access to reliable vehicle.

  • Must possess personal qualifications as required, flexibility, patience, good personal hygiene and physical and mental health that do not interfere with responsibilities.

Working Conditions

Evening and weekend hours may be required from time to time. Lifting and carrying of equipment is not typical, but may be required on rare occasions. Lifting up to 25 pounds. Reaching, grasping. Significant computer use, including extensive close use of a computer monitor. Sitting. Standing. This job involves both walking to locations on the campus and sitting for long periods of time. Working with moderate to loud noise levels.
