This position offers the unique opportunity to grow your experience in fundraising campaigns, gift processing and system administration while working with state of the art fundraising software (Blackbaud's Raiser's Edge). Position will manage Raiser’s Edge database, maintain donor records and financial reports, produce and mail donor thank you letters, assist in coordination of special events, and assist in donor research. Perform administrative functions to support the development and alumnae engagement departments. Occasional evening and weekend hours are required. This position reports directly to the Director of Development.




  • Record incoming pledges and gifts, prepare daily deposits, and maintain daily, weekly, and monthly financial records through Raiser’s Edge and excel.

  • Manage mailing lists and keep Raiser’s Edge donor management system organized and operational to ensure accurate and pertinent data.

  • Composes and prepares various correspondence, materials, and financial and administrative reports; receives and responds to donor/constituent inquiries; prepares personal letters of invitation, thanks, explanation, information, and cultivation; monitors and records donations or event payments; monitors department budget; performs clerical duties.

  • Plans and arranges meetings, special and social events; attends meetings and prepares minutes for distribution.

  • Assist in preparation of necessary materials for solicitation of donors and prospective constituencies.

  • Prepare weekly, monthly and financial reports for internal and external use.

  • Assist with the tracking of sponsorships, ads and donations for development and alumnae events.

  • Assist in preparation of grant proposal packages.

  • Coordinate with finance office to ensure accurate financial data.

  • Assist in preparation of grant research and grant proposals, setting up calendars for submission deadlines, mid-year reports and follow up.

  • Perform administrative functions including: printing letters, labels and envelopes, proofreading, and filing.

  • Gather information from Director of Communications to send weekly principal notes, alumnae newsletter and president’s message via Mail Chimp software.

  • Assist with social media promotions for alumnae and development events including, but not limited to the Garnet Gala, Big Game, 5K, Giving Tuesday, and Grandparents Day.

  • Reserve space for departmental meetings, set up conference calls, and provide Mercy hospitality for guests.

  • Perform other duties as assigned.

  • Minimum of Associate degree in Business, Information Systems, or related field preferred.

  • Minimum of two (2) years’ experience in database management required; Raiser’s Edge experience preferred.

  • Must have strong computer skills including database, Word, Excel and Power Point.

  • Strong organizational, oral and written communication skills.

  • Time management skills.

  • Ability to work with minimum supervision.

  • Possess a desire to learn new skills.

  • Ability to lift at least 30 lbs.
